Privacy Policy

How we handle personal data on this website — what we collect, why we collect it, who else ever sees it, and what you can ask us to do about it. Written to the GDPR, and kept deliberately specific: everything described here is something this site actually does.

01Who is responsible for your data

The controller of your personal data — the company that decides why and how it is used — is:

PRO MEDIA Robert Wolnik spółka komandytowa

ul. Główna 34, 64-030 Przysieka Polska, Poland

  • KRS0001103416
  • NIP6981834764
  • REGON301985780

biuro@kubki.com.pl · +48 65 511 99 00

Write to us at any of the above about anything in this policy, including to exercise the rights described in section 07. E-mail is usually fastest.

02What we collect, and why

We collect only what a given purpose actually needs. There are four situations in which this website processes personal data.

Contacting us through a form

Data: your name, e-mail address, phone number if you give one, and the content of your message.

Used to answer you, and nothing else — we do not add you to a mailing list. Providing the data is voluntary, but without at least a name and an e-mail address we cannot reply.

Lawful basis: Art. 6(1)(b) GDPR where your message concerns a possible order or quotation, because answering it is a step taken at your request before entering into a contract; otherwise Art. 6(1)(f) GDPR, our legitimate interest in replying to people who write to us.

Keeping the forms free of spam

Data: IP address, and information about your browser and how you interacted with the page, collected by Google reCAPTCHA.

Our contact forms are protected by reCAPTCHA v3, which scores each submission to tell a person from an automated script. It runs only on pages that carry a form, and it never sees the content of your message. Google acts as a separate controller for this data — their Privacy Policy and Terms of Service apply.

Lawful basis: Art. 6(1)(f) GDPR — our legitimate interest in protecting the forms, and yours in a contact form that is not buried in automated submissions.

Counting visits

Data: IP address, the approximate city, country and internet provider derived from it, and the address of the page opened.

We keep a simple record of visits so we can see how much the site is used and roughly where from. To turn an IP address into a city and country we send it to ip-api.com, a geolocation service. One visit is recorded per browser per day. No profile is built, and this record is never combined with anything you send through a form.

Lawful basis: Art. 6(1)(f) GDPR — our legitimate interest in understanding how the site is used. You may object to it at any time under section 07, and we will stop.

Optional analytics

Data: IP address, device and browser information, and pages viewed.

The cookie banner lets you accept or decline optional analytics cookies. Where analytics are switched on, we use Google Analytics (Google Ireland Limited) and Microsoft Clarity (Microsoft Corporation) to see which pages are useful and where people get stuck. These load only after you accept; if you decline, or ignore the banner, they are never loaded at all.

Lawful basis: Art. 6(1)(a) GDPR — your consent, given through the cookie banner and withdrawable at any time using the cookie button in the corner of the page.

03Cookies used on this site

A cookie is a small file a website stores in your browser. Below is every cookie this site can set. You can change or withdraw your choice at any time with the cookie button in the bottom-left corner, and you can clear cookies yourself in your browser settings at any point.

Cookie Set by What it does Kept for
smb_cookie_consent Essential This website Remembers whether you accepted or declined optional cookies, so the banner does not ask again on every page. 12 months
smb_tracked Statistics This website Marks that today’s visit has already been counted in our visitor statistics, so one person browsing several pages is not recorded over and over. 24 hours
_GRECAPTCHA Essential (security) Google Set by reCAPTCHA on pages with a contact form, to tell real people from automated submissions. Up to 6 months
kubki_auth, kubki_user Functional calc.kubki.com.pl Tell this website that you are signed in to the price calculator, so the menu can offer “My account” instead of “Log in”. They hold no identifier, token or e-mail address and grant no access to anything. 30 days
PHPSESSID, kubki_remember Essential calc.kubki.com.pl Keep you signed in to the price calculator itself. They are only sent to the calculator, not to this website. Session / 30 days

Blocking essential cookies is possible in your browser, but parts of the site — the cookie banner remembering your answer, and staying signed in to the price calculator — will stop working.

04Who else sees your data

We do not sell personal data, and we do not share it for anyone else's marketing. It reaches only:

  • Our hosting and IT providers — the company that runs the server this website sits on, and our e-mail provider, who handle data on our instructions as processors.
  • Google — for reCAPTCHA on the forms, and for Google Analytics if you accepted analytics cookies.
  • Microsoft — for Microsoft Clarity, if you accepted analytics cookies.
  • ip-api.com — receives an IP address in order to return an approximate city, country and provider for our visit statistics.
  • Public authorities — only where the law requires us to hand something over.

05Transfers outside the EEA

Some of the services above are operated by companies based outside the European Economic Area, mainly in the United States, so data may be transferred there. Where that happens we rely on the European Commission's adequacy decision for the EU–US Data Privacy Framework where the recipient is certified under it, and otherwise on the Commission's Standard Contractual Clauses together with additional safeguards. You can ask us for a copy of the safeguards that apply.

06How long we keep it

  • Messages sent through a form — for as long as the conversation is running, and afterwards for as long as a related claim could still be made, normally up to 3 years. If the exchange leads to an order, accounting and tax law requires us to keep the records for 5 years from the end of the relevant tax year.
  • Visit statistics — records older than 90 days are deleted automatically.
  • Analytics data — for the period set by Google and Microsoft, or until you withdraw consent or clear the cookies.

07Your rights

The GDPR gives you the following rights over your data. Exercising any of them is free, and we answer within one month.

01

Access

Ask whether we hold data about you, what it is, and receive a copy of it.

02

Rectification

Have anything inaccurate corrected, or anything incomplete filled in.

03

Erasure

Ask us to delete your data where there is no longer a lawful reason to keep it.

04

Restriction

Ask us to pause what we do with your data while something is being checked.

05

Portability

Receive the data you gave us in a common, machine-readable format, or have it sent to another controller.

06

Objection

Object to processing we base on our legitimate interest — including our visitor statistics.

07

Withdraw consent

Change your mind at any time where we asked for consent. Earlier processing stays lawful, but it stops from that point.

To use any of them, write to biuro@kubki.com.pl or to our registered address. We may need to ask a question or two to be sure we are talking to the right person before we act.

Complaining to a regulator

If you think we are handling your data unlawfully you can complain to a supervisory authority. In Poland that is the President of the Personal Data Protection Office (UODO), ul. Stawki 2, 00-193 Warsaw. If you live in another EU or EEA country, you may complain to the authority there instead.

08Automated decisions and profiling

We do not make decisions about you by automated means that would have legal effects or similarly significantly affect you. The only automated assessment on this site is the reCAPTCHA score described in section 02, which decides whether a form submission is accepted — if it is ever wrong about you, write to us and we will deal with your message by hand.

09Changes to this policy

We update this policy when the law changes or when we change what the website does. The current version is always the one published here, and the date at the top tells you when it last changed.

Something here not clear?

Ask us. A plain question gets a plain answer — you do not need to quote an article number.
